Welcome to the June edition of the City of Cockburn's Champion Clubs newsletter. Firstly, we would like to thank all of our clubs for their hard work implementing Phase 2 directions and conditions from the City previously. Recreation Services has been working through the State Government's Phase 3 Safety Guidelines for Sport & Recreation to develop the next stage of policies and protocols. As we now move into Phase 3 conditions we also thank you for your patience and for working with us to enable sport to resume in a safe manner for the whole community. With WA progressing to Phase of the State Roadmap to Recovery, winter sports clubs will most certainly be keen to get their season started. For further information, see the Frequently Asked Questions released by the State Government. All clubs that hire City of Cockburn facilities should have received an email from Recreation Services outlining how the City will move into the next phase so that clubs can resume their sport. There will be updated Special Conditions of Use for clubs to agree to as well as other considerations, for example, provision of food and alcohol, and gathering size limits. As a result of this, clubs will have a responsibility to prepare documentation before approvals to continue their activities can be given by the City, so we urge all clubs to attend to this as soon as possible and to contact Recreation Services for assistance if required.
Conducting meetings
Physical distancing measures may impact on clubs holding regular meetings, including the Annual General Meeting (AGM). Consumer Protection has the following general advice: Try to only hold essential meetings face-to-face. Any non-urgent business can be dealt with at a future date. Where the association’s rules permit, hold meetings using electronic means. Try to limit the number of attendees present in person at a meeting by using proxy provisions (if allowed in club rules) or ensure the venue is large enough for people to attend with suitable physical distancing. Keep up to date with advice issued by the Department of Health and respond accordingly. Keep members informed about any proposed actions especially if the association will be delaying or changing the time frames or formats of meetings.
