Hello John

I hope you are well.

Is there an Outlook email you find yourself sending over and over again? Use this hack to create a shortcut.

In this tutorial, I’m using a Logistics email we send before every client engagement. While the details change, the basic content remains the same.

Creating the Signature Block template:

Create the “boilerplate” text and copy it.

Start a new email message.

Click the Message tab, in the Include group, click Signature, then click Signatures

When the Signature box pops up, click the New button, then click OK.

When the following dialog box pops up, type the name for your new signature, then click OK

When the Signatures and Stationery box pops up, paste your text into the Edit Signature box by clicking CTRL V and click OK.

Creating the Signature Block template:

Create a new email.

On the Message tab, in the Signature group, click Signature, then click the name of the signature to insert the text in the email.

Make edits and send the email.

The downside to this method is you cannot include attachments in the template. There is a way to do that in Outlook. If you’re interested in learning that, please let me know.

Feel free to share this email with anyone who will benefit from learning this tip.

Warmly,
